Bill’s Car Service & Transport in Pittsburgh needed a more consistent way to schedule trips, assign staff, and keep customers informed. As part of a broader workflow review, Triple Speed Technology evaluated Microsoft 365 Bookings as a practical appointment-scheduling option that could reduce manual coordination without requiring an immediate, wide-ranging systems replacement.
Challenge
Trip information arrived through several channels, including phone calls, text messages, email, web forms, and referrals. Staff then copied the details into a shared trip roster and created Google Calendar events for dispatch. Re-entering information across tools took time and created opportunities for inconsistent details or missed updates.
The business needed better scheduling support, but a full platform migration would bring additional cost, training, data migration, and adoption questions. The useful question was not simply which tool had the most features. It was which option could provide immediate relief while fitting the way the business already worked.
What we did
We stood up a functional prototype to make the option concrete. Rather than relying on a feature list, Bill’s Car Service could see how a customer-facing booking request and the staff-side management experience might work in practice.
Documented Existing Workflows
We documented the trip-intake and dispatch workflows, how customer contact information is maintained, and the coordination required between drivers and with customers.
Researched Features of Microsoft 365 Bookings
We reviewed how Bookings organizes appointment availability, assigns staff, and handles customer modifications, confirmations, and follow-up notifications.
Created Sandbox Instance of Booking Page
We created example customers and staff members, added representative services such as airport trips with luggage and bike hauling, and configured company policies and branding.
Demonstrated to Prove the Concept
We walked through the experience as a customer, driver, and dispatcher, including customer communications and self-service options.

Takeaway
Microsoft 365 Bookings can be a useful fit when a service business needs a clear scheduling interface, staff availability, assignments, and automated customer communication. A focused prototype makes it possible to test that fit before committing to a larger migration or custom build.
For Bill’s Car Service, the evaluation was one part of a broader comparison that also considered extending the existing Google workflow, moving to an ERP, and building a custom intake and dispatch application. The goal was to make the tradeoffs visible and choose an improvement path based on effort, cost, adoption, and vendor alignment.
